Hotel Decor FAQs

Where do you provide decor services?

How do I request to reserve a time slot?

Please fill out the inquiry form on the Request to Book page.

Bookings are not considered confirmed until you receive a confirmation email from us which will contain an invoice. When you receive the invoice, please review it and sign it. When it is sent back to us, that is when the booking is confirmed.

Where do I send the payment?

You can send the payment to two different locations.

  1. Venmo - saraaconway

On the Request to Book form, please specify if you already sent a deposit.

Any other forms of payment are NOT acceptable. We are working on adding other payment forms.

Do not pay on the website

Is there a deposit required?

Yes.

When requesting to book, please have the $100 deposit sent beforehand.

The rest of the package payment will be required 24 hours before the desired time slot.

Bookings will not be reviewed until the deposit has been received by the team. Our team will review it and send a confirmation email with an invoice to confirm your time slot and date.

Bookings must be made at least 7 days out. If it is within the 7 days, it can still be booked with an approved $50 rush fee. FULL package pricing will be required if booked less than 7 days out. Please reach out if you want more details on this.

All deposits are non-refundable, but they go towards the price of the package.

If your desired time is not available but you have sent the deposit already, you will get the money back.

Who books/provides the rooms?

We cannot and will not book hotel rooms, airbnbs, or other short term rentals on behalf of clients.

  • Therefore, clients have the full freedom to book any hotel of their choosing, as long as it is within our serviced geographical area and they allow outside decoration services.

  • At the time of booking, the hotel information will be required. 

  • Hotel room booking must be confirmed before sending us a deposit and requesting to book.

How will you access the rooms?

All clients are required to check in to the hotel PRIOR to our arrival for setup and decor. There are a couple options to ensure a smooth check in process.

  • Leave a key at the front desk and let them know a decorator will be there shortly

  • Add the decorator’s name at the time of booking 

Please Note:

  • We will NOT check in on behalf of the client

  • We will NOT provide any credit card details to access a room or enter a room early

  • If the client has not checked in before our scheduled arrival time, the reservation will be cancelled.

  • All deposits are non-refundable.

What if I am late or running behind?

If you are more than 15 minutes late to meet the decorator without prior communication, the booking will be cancelled and no refunds will be given.

If you know you are running late, please inform the decorator with the contact information you will be given. However, there is no guarantee that time slots can be moved once they are booked. If there is any leniency on this day you are running late, it will be decided that day by the decorator, dependent on their schedule.

The easiest way to avoid this is to put the decorator’s name on the hotel booking or reserve a key ahead of time, to be picked up when the decorator shows up to the hotel.

If this option is selected, but they will not allow the decorator to check-in, the reservation will be cancelled and no refunds will be given.

Can I be in the room while you are decorating?

For the safety of our decorators, nobody else can be in the room while decorating is taking place. The process takes less than 2 hours, so during this time only the decorators will be allowed in the room.

No exceptions.

How long will the decorating process take?

Depending on the package you purchase, it can vary anywhere between 1 hour to 2.5 hours. The time will be confirmed and communicated via invoice.

What is your cancellation policy?

Refund and Cancellation Schedule

If desired time and date not available when you submit the request to book form - Full refund

24 hours within confirmation and signing of invoice - Full refund of deposit in the form of gift card or future booking credit. If choosing a future booking credit, you must submit a new date within that 24 hour timeframe.

After 24 hours - No refund

The Setup does not offer refunds in the form of cash or credit. Please ensure the date and time are what you want when booking for this reason.

Event Planning FAQs

How do I request to reserve a event planning service?

Please fill out the event planning inquiry form on the Request to Book page.

Event Plans are not considered confirmed until you receive a confirmation email from us which will contain an invoice. When you receive the invoice, please review it and sign it. When it is sent back to us, that is when the event planning service is confirmed.

Is there a deposit required?

No.

This is because the full amount of the event planning service is due at the time of booking.

The event will not begin its planning phase until full payment is recieved.

What is your cancellation policy?

Refund and Cancellation Schedule

For event planning services, once the payment is received on our end, the planning and concept creation begins, therefore no refunds will be given.

This is why the first 30-minute meeting is so important to get everything on the table so the event planning team can envision your idea and execute to your desire.

What types of events do you plan?

I specialize in small to mid-size events such as birthdays, romantic setups, bachelorette parties, hotel or Airbnb experiences, themed dinners, girls’ nights, and more! If you have a unique vision, let’s talk because I love creative and new projects!

My event planning services cover events for up to 50 guests. If you have more guests attending, please reach out to hello@thesetupbysara.com

What’s the difference between each package?

Great question! Here’s a breakdown:

  • The Blueprint gives you a fully personalized plan and vision to execute yourself.

  • Planner’s Playbook includes detailed guidance, vendor suggestions, and a full plan.

  • Full Setup Experience includes everything plus day-of setup and execution so you can just enjoy!

How far in advance should I book?

Ideally, at least 2–4 weeks in advance for the virtual planning packages, and at least 4+ weeks in advance for the full setup services. Rush bookings may be available for an additional fee. Keep in mind, with a shorter advance notice, dates and times are less-likely to be available.

Do you offer event clean-up?

Light clean-up or breakdown guidance is included in the Full Setup tier only.

Can I customize a package?

Absolutely! If you want something in between tiers or need something specific, I’ll create a custom quote that fits your event. Just reach out at hello@thesetupbysara.com

Do you travel?

Yes! Although I am based in Los Angeles, I can travel depending on availability and event size. Travel fees will apply and will be calculated on the invoice.

Do you work with vendors?

Yes. I provide vendor recommendations, and in the Full Setup package, I coordinate with them on event day. I do not directly pay vendors but I will guide you every step of the way.

Do you offer digital services?

Yes! If you are out of town or just want help planning, I offer fully virtual services through the Blueprint or Playbook packages.
